Convert to Google Calendar for Scheduling

Steps:

Anyone responsible for maintaining the schedule can create a Google account if one does not already exist. Note: a Gmail email address is not required. It is best practice to use a work email address when creating this account.
    1. Click this link and select “Use my current email address instead” to create a Google account
1. Create a new calendar for each team member by selecting the “+” button. Select Create new calendar. Give your calendar a name,  e.g. “Dr. ____”

2. Click the new calendar located in the left sidebar to open Calendar Settings 

3. Scroll to the section titled  “Access permissions for events” and select “Make available to public”. Select Ok when the warning box pops up.  Ensure “See all event details” is selected in the drop-down picker. 

Note that this step is vital for allowing Pulsara to access calendar information and toggle users on/off call at the right times

4. Scroll down further to the “Integrate calendar” header and copy the “Public address in iCal format”

5. Save the iCal link and share with your CSM, along with the Team member’s first and last name

6. Repeat until there is a new calendar for each member on your team

7. Under “My Calendars” in the left hand menu, select the check box next to each team member’s calendar so that you’re viewing all at once. Selecting all at once effectively shows you the calendar for the entire team

8. Each shift will need to be entered as an Event in Google Calendar. Be sure to carefully select the correct user’s calendar for each Event and give each event a descriptive name (“Cardiology Day Shift - Dr. ____” or similar)

Manually creating events for shifts

  1. Click “+Create” in the upper left (or click into a date on the calendar)
  2. Click “More options” on the window that opens
  3. Enter Shift Title, Date & Time range, and Description if needed 
  4. Note that all shifts will have no attendees. This is fine for the integration, but we can talk about inviting team members or sharing the calendar if your team would like to see the Google Calendar
  5. Calendar view may look something like the following:
